Case Study- How an Investment Company Increased Productivity and Performance by Modifying an Existing Application

The Challenge
- All of the client’s data was siloed within different applications. They used many different applications to carry out the functions in the organization. For example, they used Excel spreadsheets, Microsoft Word and other applications to store client data and other relevant information. This meant that it was extremely difficult to access information across different departments.
- One of the major issues the client experienced was the inability to generate KPIs for the organization. Due to the absence of a centralized data storage, it was also difficult to deliver services to customers in a timely manner because data simply was not readily available to make decisions.
- Additionally, field agents were unable to access important data while serving customers outside of the office because the information was stored in-house. This meant that a lot of phone calls were made which slowed the sales and customer service processes.
The Solution
After completing an ICT audit where we did a thorough assessment of the client’s applications, defined all operational processes and zeroed in on one specific application during our assessment that could deliver the client’s needs. Based on our findings, we executed a deep dive into that application to assess its capabilities based on the client’s future state goals of increasing efficiency and productivity throughout the organization. Our deep dive into the application determined that it could be modified to meet and deliver the client’s objectives.
We created a future state roadmap that included modifications and supporting tools including the addition of a mobile platform that integrated with what will become the core business application. The future state roadmap was shared with the client followed by another round of consultation to ensure everyone was on board and satisfied with the outcome. The next step is the development, modification and alignment of this application as the core business tool. During this phase, we will conduct several gate reviews and proof of concept before we go live.

The Outcome
After this client’s modified application was implemented, there was an increase in field agents and in-house staff performance. More specifically, the rate of service delivery increased since all data resided in a centralized repository and all staff utilized one application platform to eliminate data redundancy and data inaccuracy.
Another significant outcome was that managers could access real-time data to determine the performance of staff and to generate real-time reports to monitor throughput via this application. The organization’s strategic goals were realized because all the data was collated into one application that could be accessed by all members of the organization in a timely manner.
